Exhibitor Booth Space and Sponsorships

Exhibitors are reminded that space & sponsorship availability does sell out well before the show!

The League’s Annual Conference draws hundreds of Wisconsin’s elected officials and staff and helps make connections to the companies and organizations that provide the services and products that help them accomplish more. It’s a busy show and sells out every year. Best to plan to come early!

This year the League’s Vendor Exhibition is on Wednesday, October 7, the opening day of the 3-day conference. Please note that the vendor display is Weds. only and the focus of our conference is on the exhibitors that day.  Come ready to be busy!  Conference attendees are drawn to the Exhibition not only by the exhibitors, but also to enjoy food and beverages at lunch and during the President’s Reception late Wednesday afternoon with door prize give-aways at the end of the exhibition.

Vendor Exhibition Agenda, Wednesday October 7, 2020:

7:00 AM Vendor setup with vendor refreshments in Exhibition hall.
10:00 AM Vendor Exhibition opens.
Noon Light lunch buffet in Exhibition hall.
1:00 PM Soft close for opening roundtable.
3:00 PM Vendor Exhibition hall re-opens.
4:00 PM President’s Reception in Exhibition hall with food and beverages.
5:30 PM Exhibition Raffle Drawing.
6:00 PM Exhibition hall closes. (Please note there is a $500 early tear down fee.)

Vendors Need to do 3 things to exhibit with us:

  • Reserve a booth space by choosing to be a conference sponsor or exhibitor and completing the online booth space reservation form.
  • Register all your staff attendees online before the cutoff date (Oct. 1, 2020).  You will get a registration links for complimentary registrations and member rate registrations for any staff that exceed your complimentary ones.  Staff attendee registration opens June 1, 2020.
  • Complete the program form for your organization.  This brief descriptive and contact info goes in the written program at the show.  A form link will be mailed to vendors who have reserved a booth space starting in June.

Exhibitors will need to reserve a booth space and register all attendees after June 1st when attendee registration opens.

Exhibitor Booth Pricing:

Standard Exhibitor:     $910 (Includes booth & 2 Attendee Badges!)

Silver Sponsor:            $2250 (Includes booth & 4 Attendee Badges!)

Gold Sponsor:             $3750 (Includes booth & 6 Attendee Badges!)

Event Sponsor:           $4,000 (Includes booth & 4 Attendee Badges!)
            *Call for availability – Events: Thursday Reception & Friday Breakfast.

Equipment Space:      (Includes 20’x 30’ CONCRETE space & 2 Attendee Badges!)
            *Sold Out!  Must display vehicles/equipment in these spaces. 

All sponsor & exhibitor booth spaces have the following:

• 10 ft. Wide by 8 ft. deep both space with background and side drapes.

• 1 x 8 ft. by 2 ft. table with table cover and skirt.

• 2 x Chairs and one electrical outlet.

• This year the entire hall is carpeted except the CONCRETE Equipment spaces.

The La Crosse Center is providing the standard booth setup outlined above. If you require additional furnishings or special accommodations, you can contact them to make separate arraignments. Their Exhibitor Service Kit PDF is in this link.

All vendors get a complete electronic and paper roster of all the attendees (Name, Title, & Municipality) for reference after attendee registration has closed.

Register your attending staff:

All attendees must have an attendee conference badge to attend the Exhibition hall and staff the booth space. Good news: exhibitors get some complimentary badges! After reserving your booth space or sponsorship exhibitors will be sent a link to register their staff with complimentary attendee badges and member rate badges for staff that exceed the complimentary allotment.

Hotel reservations:

Parking:

We have some tentative trailer parking designated within 4 blocks of the show site.  Parking info will be included in your exhibitor information.

Cancellations, Transfers, or Questions:

Exhibitors may cancel their booth reservation any time before September 1st, 2019 for a refund minus a 10% cancellation fee. After that, the show programs are being printed, and no refunds can be given. But why would you want to miss this exhibition when it sells out every year and has a waiting list of vendors trying to get in?

October is a ways off and we know things change so if you need to swap registrations because you end up with different staff attending, let us know. We can do that for you! Just remember, everyone must register to attend and your booth space reservation has some complimentary registrations.

Get in the Conference Program Guide:

The conference program is a valuable advertising tool as well as a helpful aid for our members to contact vendors after the conference. The contact listed for the booth reservation will get a form in June to collect your company’s program information.

Sponsor:

You can strategically position your company or organization by sponsoring the League’s Annual conference at the Gold or Silver Level or choose an Exclusive Sponsorship of one of the workshops, speakers or breaks. Sponsors stand out with the vendor’s logo added in the conference program, in the exhibition hall with special signage, and through special recognition and thanks from the League’s Executive Director. Our members also notice and recognize our show sponsors help make the annual conference possible and appreciate that.  You may reserve a sponsorship while completing the online booth space reservation form, or you may contact Robin Powers to check the availability of sponsorships.

Get in the Raffle:

Back again is the very popular vendor raffle! Join in and include a prize of $10.00 or less with your company’s info attached. We will ask those with booth reservations in the June program survey if you want to participate and vendors then drop off the prize at the registration desk during Wednesday morning set up the 7th. These prizes will be collected in several different prize baskets and raffled off at the close of the exhibit hall (5:30 PM Wednesday).

Exhibitors are provided with novelty stamps to use with attendee raffle entry cards when they stop to visit exhibitor booths; the only way attendees can get in the raffle is to get those entries stamped by you! Please note: we will not be doing individual vendor drawings at the end of the exhibit hall, but you are free to conduct individual raffles at your own booth.
